How Excessive Idling Affects Your Fleet

Why idling time is one of the most direct, avoidable sources of fuel waste in a commercial fleet, how to measure it, and where it's legitimate versus where it isn't.

How does excessive idling affect fleet costs?

Excessive idling increases fuel spend without any corresponding benefit in distance travelled or work completed. It also adds engine hours without adding kilometres, which can distort service-interval planning if maintenance is scheduled purely on distance.

Why idling is easy to overlook

Fuel consumption is normally understood in terms of litres per 100 km — a measure that assumes the vehicle is moving. Idling breaks that assumption entirely: the engine is running, fuel is being consumed, and the odometer isn’t moving at all. On a fuel report that only shows total litres against total distance, idling-related consumption gets folded into the same number as normal driving, making it invisible unless it’s measured separately.

A rough sense of scale

A typical light commercial diesel vehicle idling consumes somewhere in the region of 0.5–1 litre of fuel per hour, depending on the engine and whether accessories like air conditioning are running. That sounds small in isolation. Across a fleet of 20 vehicles idling for an average of 45 minutes a day — waiting at sites, warming up, running errands with the engine left on — that’s roughly 15 vehicle-hours of idling a day, translating into a meaningful monthly fuel cost once totalled across the fleet. The exact figure depends entirely on the vehicles and the nature of the work, which is why it’s worth measuring rather than estimating.

When idling is legitimate

Not all idling is waste. Some is a genuine part of the job:

  • A security response vehicle on standby, engine running for radio and lighting.
  • A refrigerated delivery vehicle keeping a cooling unit running during a stop.
  • Extreme weather conditions where a vehicle is left running briefly for safety or comfort reasons.

The goal isn’t to eliminate idling entirely — it’s to distinguish operationally necessary idling from avoidable idling, so the conversation with drivers is about the second category, not the first.

How to reduce avoidable idling

  1. Measure it separately from driving fuel consumption, so it’s visible as its own line rather than hidden inside a general consumption figure.
  2. Set a reasonable idling threshold — most fleets find a few minutes at a stop is normal; idling well beyond that, repeatedly, is what’s worth investigating.
  3. Review by driver and by vehicle, since idling patterns tend to be driver habits more than vehicle issues.
  4. Feed it back specifically, rather than a general instruction to “use less fuel” — a driver told their idling time is double the fleet average has something concrete to act on.

Idling is one input into the broader picture of fuel management, alongside consumption-per-kilometre and fuel card review — together, they show not just how much fuel was used, but where it went.
